Position Overview:

The Human Resources Benefits Administrator is responsible for providing administrative and analytical support regarding all leaves of absence and welfare benefits in accordance with regulatory laws to both union and non-union groups.

General Duties/Responsibilities:

  • Manages the worker’s compensation, disability and other leave management programs daily.
  • Responsible for monitoring and generating reports and communicating with employees, managers, insurance carriers and the medical department regarding employee status.
  • Responsible for notifying employees of their benefit packages including Medical, Disability, Workers Comp, Life Insurance, STD/LTD and other Leave options.
  • Responsible for preparing health packets before an employee becomes eligible.
  • Enrolls eligible employees and retiree/spouses on to Medical, Life, HRA and Aetna accounts.
  • Reviews enrollment forms for accuracy and coordinates enrollments with non-union administrators.
  • Responsible for ensuring compliance and is knowledgeable of COBRA federal guidelines including preparing letters and ensuring terminations and elections are processed.
  • Mails certified letters to employees regarding medical benefits, terminations, FMLA and PFL acknowledgements.
  • Responsible for maintaining time sensitive spreadsheets that include salaries, payroll data, compensation and leave information daily.
  • Responsible for being the liaison with Payroll to ensure deductions, reimbursements, calculations and PTO accounted for accurately weekly.
  • Responsible for analyzing and interpreting data providing recommendations or trends analysis.
  • Orchestrates quarterly Worker’s Compensation meetings with insurance carrier.
  • Files and maintains records electronically for all WC, DB, PFL and FMLA claims.
  • Coordinates with medical liaison and Training Department in reporting accidents and status updates regarding LOA and return to work.
  • Communicates directly with employees providing stakeholders prompt notification regarding issues and status updates.
  • Responsible for ensuring all paperwork and documentation is received from employees and corresponding supervisors.
  • Investigates and reports accidents to insurance carriers.
  • Responsible for participating in the reasonable accommodation process documenting, researching and providing prompt responses with the assistance of upper management.
  • Provides current and prospective employees with information about policies, responsibilities, wages and employee benefits. 
  • Responsible for assisting with enrollment into the company 401(k) program.
  • Responsible for entering 401(k) loans and contributions into the system weekly.Responsible for preparing documents and assisting with yearly 401(k) audit.
  • Responsible for maintaining a running Covid-19 tracking log and liaising with supervisors, and employees regarding LOA.
  • Assists with preparing benefit compensation profiles.
  • Responsible for providing customer service support to internal/external customers and developing communication tools to enhance understanding of the company’s benefits package.
  • Responsible for designing and distributing materials for benefits orientations, open enrollment and summary plan descriptions.
  • Responsible for administering benefits, including but not limited to medical, dental, vision, life, leave, pension, retirement and wellness plans.
  • Responsible for coordinating Wellness incentives on behalf of the company.
  • Cross trained in the use of the HRIS system with the ability to enter leaves, attendance, new hires, terminations, promotions, deposits and employer mandates.
  • Provide back up for the Human Resources Department including but not limited to answering phones, assisting employees, new hire onboarding and orientations.

Reporting Responsibilities:

This position reports to the Director of the Human Resources Department.

Position Qualifications:

  • Bachelor’s degree required with a minimum of 3 years of progressive experience in an HR environment or an Associate’s degree with 8 years of HR experience.
  • SHRM/PHR or CEBS certification preferred but not required.
  • Strong knowledge of computer software including but not limited to Microsoft Suite, JD Edwards, Kronos, and ADP a plus.
  • HRIS and timekeeping systems experience preferred.
  • Must have strong interpersonal and communication skills both written and verbal.
  • Must have a valid NYS Driver’s License.
  • Ability to handle details with accuracy.
  • Strong organizational and recordkeeping skills.
  • Strong customer service awareness and confidentiality.
  • Ability to prioritize.
  • Ability to present information in a group setting.

Physical and Sensory Requirements:

  • Ability to evaluate information making independent decisions.
  • Ability to prepare clear, concise, and accurate reports, correspondence, and other job-related documents for various audiences.
  • Ability to communicate effectively using a variety of styles and techniques.
  • Skill to recognize and determine the need to shift priorities and resources to maximize departmental operations.
  • Ability to use all office equipment including phones, fax, and personal computer.
  • Ability to sit in a sedentary position for an undefined amount of time.
  • Ability to bend and lift up to 15 lbs.
  • Ability to read, write and converse in English.
  • Ability to type 60 words a minute.
